SENIOR MANAGER FINANCE AND ACCOUNTING
( Jakarta )

PRIME PURPOSE:

To manage all activities of the accounting, finance, IT, purchasing & logistic and general affairs functions including business support services of the Finance and Accounting Department, in the efficient and timely provision of commercially focused value adding information/reporting/services and compliance on taxation and financial statutory matters, within a tightly cost managed environment and in accordance with Company approved policies and procedures. This includes all legal entities managed by Rentokil Initial Indonesia.

RESPONSIBLE TO: This position reports directly to the local Director.

RESPONSIBLE FOR: Direct reports include all Assistant Managers of each function under this position.

INDIRECT RELATIONSHIPS:

1. Senior and Branch Managers
2. Divisional Management Accounting Manager
3. HR Manager

RESPONSIBILITIES AND DUTIES

Direct and control all functions and activities of the Finance Accounting Department, including maintenance and reconciliations of general, subsidiary and contract ledgers, centralized invoicing, cashiering, banking, taxation, purchasing & logistic and general affairs within approved budget/forecast manpower and expenditure levels.


Ensure timely preparation and distribution of management reports, financial statements, KPIs, performance statistics/league tables.


Populate Group reporting database and transmit to parent company in accordance with Group instructions.


Prepare long range plans, annual budgets, monthly management reports and forecasts for the Finance Accounting Department and overall for the Companies financial reporting suite (balance sheet, cash flow, inventory, debtors, working capital)

Responsible for all areas in purchasing, logistic & general affairs which include liaise with suppliers and ensure all imports are through proper importation system.


Liaise with external auditors on matters related to their audit of accounting controls/procedures and year end form packs and supervise preparation of statutory accounts and income tax returns, including liaison with advisors/outsourced services.


Participate in the maintenance of practical accounting policies and associated compliance measures and initiate proactive reviews seeking efficiency improvement and or cost reduction.


Through the Departments staff, maintain a watching brief on branch/divisional compliance with prescribed administration/accounting policies and initiate action to have any non complying activities address by the branch.


Make recommendations on financial policy, borrowings and funds management and in accordance with Group policies/guidelines.

Participate in negotiating financial facilities/services from external banks/financial institutions and supervises investment of cash surpluses in approved short term investments.

Ensures that there is compliance in all direct and indirect taxes and financial return matters (including all withholding taxes, import duties & other related taxes) and as required prepare financial data for statutory body reporting. Also include update on all new tax reporting requirement.

HEALTH & SAFETY

The Senior Manager Finance and Accounting participates in regular reviews of the Finance and Accounting Safety Management Plan, and has a direct responsibility to oversee that the health and safety practices of the department are in accordance with that Plan and the companies.

The Senior Manager Finance and Accounting carries the primary responsibility for health and safety of all staff engaged in the Department. Whilst tasks associated with training and safe working procedure education are delegated, the responsibility to ensure all staff are adequately trained and supervised on health and safety matters remains with the Senior Manager Finance and Accounting.


Specifically the Senior Manager Finance and Accounting will:

* Ensure Health & Safety procedures are implemented in Central Warehouse.
* Confirm that pre-employment checks satisfy pre determined health and safety requirements and that there is no evident physical or other disposition which would create a health and safety risk exposure.
* Report any accident immediately to the Manager Health and Safety and where required health/occupational authority.
* Investigate and take any necessary remedial action following any accident, reported near miss or shortcoming in an inspection/audit report.

LIMITS OF AUTHORITY

Authority limits are documented in the Delegation of Authority levels table.

Travel and accommodation must receive prior approval of the Director and the standard of accommodation must comply with the ruling approved Company level of cost for this grade of position.

PHYSICAL REQUIREMENTS OF THE JOB

The position normally involves tight office duties. The role also requires occasional driving of a motor vehicle. Drivers must be aware of their responsibilities with regard to the use of drugs and alcohol even the following morning after use.
